Connect approved forms and sources, map contact fields, identify possible duplicates and route an enquiry for review. Follow-up drafts and task creation can be included; sending or taking further action depends on the agreed permissions.

Document processing

Collect files, extract agreed fields, check the output and pass it to the next system. Document format, quality and volume determine what is practical. Uncertain results can be sent to a person rather than treated as correct.

API and system connections

Connect authorised systems through available APIs, webhooks or supported integrations. Define field mapping, access, retries and exception handling around the systems you actually use.

AI assistance where it helps

Use approved business information for assistants, classification or draft preparation, with evaluation and human review where needed. Not every workflow needs AI, and an AI answer is not automatically an authorised action.

  1. Understand one workflow

    Identify the trigger, inputs, people involved, current tools and intended improvement. Start with a manageable process rather than every system at once.

  2. Agree the scope and checks

    Review access, data handling, integrations and exceptions. Define what can happen automatically, what needs approval and how to assess the result.

  3. Build and test

    Configure or develop the agreed workflow, test ordinary and failure cases, and review it with the people who will use it.

  4. Hand over and support

    Agree documentation, ownership, monitoring responsibilities and any ongoing support. Further changes are scoped separately.

What to bring to the conversation

  • The tools involved and whether you have authorised access to their APIs or integrations.
  • The steps your team follows today, including exceptions and approvals.
  • Approximate volumes and a description of representative inputs; do not send sensitive documents in the first enquiry.
  • Who owns the process and what would count as a useful improvement.

What we agree before starting

Tool availability, licences, data quality and provider limits affect feasibility. Fees, timing, third-party costs and support are agreed after scoping. Automation does not remove your team’s responsibility for appropriate review, access and data handling; we do not promise a fixed saving, error-free AI or automatic regulatory compliance.

Common questions

Do we need AI or a custom system?

Not necessarily. A supported integration, configuration change or conventional automation may be enough. We compare those options with custom development against the actual workflow.

Can you work with our existing CRM?

We assess the CRM’s available APIs, permissions, licensing and data structure. We do not promise a connection before checking those constraints, and a new CRM is not automatically required.

Can you process PDFs and invoices?

Document extraction can be part of a scoped workflow. Layouts, scan quality, fields and acceptable errors need assessment, with validation and a review path for exceptions.

Will the workflow send messages without approval?

Only if that action is explicitly included and authorised. Drafting, review and sending can be separate steps with agreed permissions.

Can you support a team in Saudi Arabia?

We are based in Austria and can discuss remote work with teams in Saudi Arabia and other markets in English, German or Arabic. Availability, time-zone coordination, systems and data-handling requirements are agreed for each project. This is not a claim of a local office.
